Confidentiality & Privacy
Information about you will be obtained and kept on file when you attend appointments at Odyssey Psychology. This information includes your contact details, assessment material and notes from each consultation, treatment plan, supervision notes, and information from other health professionals.
Your file remains the property of Odyssey Psychology and is stored electronically in a secure manner for a period of seven years from the date of your last contact with Odyssey Psychology, in which case it will be destroyed. Information in the file may be used for statistics, archival research, and other clinic and research purposes after all identifying information have been removed.

You are entitled to access the information in your file at any stage, which means you may view the contents of your file with a psychologist present so the material may be explained to you. It is not possible to remove the file from Odyssey Psychology.

Our psychologists have an ethical responsibility to ensure that your information is kept private and confidential. Only your psychologists and their supervisors are permitted to access this information. Ongoing professional development and supervision are required for all practising psychologists to encourage up-to-date knowledge of current research and clinical practice, and for review and feedback of client cases to ensure proper ethical standards and treatment approaches are being adhered to. Due to this, your information may be shared with your psychologist’s supervisor who is also under an ethical duty to keep your information confidential and private.

Appointments and Late Arrivals

You will be allocated 60 minutes for each appointment, which includes a 50-minute consultation and 10 minutes for the psychologist to complete notes and relevant documentation. Your appointment will begin at the time agreed upon between you are your psychologist (i.e., your scheduled appointment). The appointment will continue as planned if you arrive up to 20 minutes late after which you will be considered as not attending. Your appointment will be forfeited and a cancellation fee will be charged (see ‘Cancellation Policy’ below).

You may terminate ongoing therapy at any time, but we encourage that you discuss this decision with your psychologist if possible, so that closure can be obtained and they can assist you with finding a more suitable option (e.g., treatment approach or another psychologist).

Cancellation Policy

When an appointment is booked, the whole hour is reserved for the client. Therefore, failure to provide sufficient notice to cancel or re-book an appointment will result in a cancellation fee. Late cancellations make it difficult to accommodate other individuals who require support.

To avoid a cancellation fee, please provide more than 48 business hours’ notice if you are unable to attend your appointment. Cancellations with less than 48 business hours’ will incur 50% of a standard consult fee. Cancellations with less than 24 business hours’ notice or not showing up to your appointment will incur 100% of a standard consultation fee.

We understand that unexpected situations can occur sometimes that are outside of your control (e.g., medical emergency, sudden illness, etc.). Please let us know as soon as possible if this occurs to explain the situation and discuss waiving the cancellation fee (please note that you will need to supply evidence/documentation). Please note that arriving more than 20 minutes late will be considered a missed appointment.

Please note that cancellation fees will be processed automatically using the card you have placed on file 24 hours after your missed appointment if no adequate explanation has been given for the missed appointment before or during this time. Cancellation fees are not covered by Medicare or private insurance funds.
